One of Brazil’s leading companies in the corporate benefits sector, with strong offerings in food, mobility, and expense management solutions, was seeking ways to streamline and enhance its legal processes related to public procurement.

The Challenge

With a high volume of participation in government RFPs (Requests for Proposals), the legal team faced an ongoing challenge: reviewing large numbers of public bid documents under tight deadlines.

This type of analysis is highly complex, requiring close attention to detail, technical interpretation, and legal expertise. Despite the team's qualifications, the manual nature of the process often stretched over several days—directly impacting the company's agility and competitiveness in the race for public contracts.

The company needed a tech-driven solution to accelerate this workflow without compromising legal accuracy or analytical quality.

The Technical Solution

The process begins with uploading RFP documents, which are then converted into structured data. This data is processed by natural language models such as OpenAI’s ChatGPT and Google Gemini, powering an intelligent agent (bot).

This AI agent is designed to emulate a specialized RFP Analyst, responding to user queries via a simple and intuitive chat interface—mimicking the expertise of a legal professional.

The bot scans the document data, cross-references relevant external sources when necessary, and provides fast, contextual responses to the legal team’s inquiries.

The goal is to automate the initial screening process so that legal professionals can focus their time and attention on the most critical and strategic aspects of each RFP. The AI is built to accelerate understanding and minimize risk, while keeping final decisions firmly in human hands.

The Results

In just three weeks, GX2 delivered a working proof of concept (POC): an AI-powered agent capable of automatically analyzing RFPs. The system was trained to identify relevant sections, extract key information, and provide a high-level overview of each document's requirements—always keeping the legal team in control of final decisions.

With this solution, what previously took up to a week or more was reduced to mere minutes. The result was a dramatic increase in operational efficiency and productivity, all while maintaining legal security and oversight.
